New General Data Protection Regulations

The new General Data Protection Regulations are now in place, with a date for compliance set at 25th May 2018. By this date it will be necessary for all clubs and associations to be operating in alignment with the new legislation. This is basically explained in the attached document NSRA GDPR Guidance for Clubs and Associations which is also available on the NSRA website.

We strongly recommend that your club or association develops its own Privacy Policy to help ensure compliance with the new legislation. A template for this has been produced called NSRA Club Privacy Policy Template that gives a layout of the necessary content for a policy. It may be necessary to add or remove sections in the tables to fit your organisations use of data. However, it must also be noted that it may be insufficient to continue operating in exactly the same way. You may therefore need to change the way you collect and handle data to suit the new regulations.

Clubs that are not Home Office Approved and airgun only clubs will need to remove the elements of the policy template that relate to this as a reason to process data. This also applies to most Counties and Regions. These are under the section Data processed under our legal obligation

We recommend that when a person takes on any level of membership as part of the application you ask for consent to hold and process their data. Ideally this should be done on joining or refreshed annually on renewal. If the Privacy Policy has been completed a statement such as:


The (insert club name) will store and use your personal data for the purposes of administering the club and your involvement in club activities. The data will be collected and processed in accordance with the (insert club name) Privacy Policy. I understand that by submitting this form I am consenting to my data being used in this way.

The club or association then needs to provide access to the policy by posting it on their website (if they have one) and by making email or paper copies available on joining and renewal.

Once the above statements are collected it is useful to keep them as part of membership records and represent a positive opt-in to the data being collected if it becomes necessary to prove compliance.
